Fuel cards are one of the most secure ways that you and your drivers can purchase fuel, due to several specific factors.
Business fuel cards are not seen as a preferred target by thieves and fraudsters, as their value to them is intrinsically nothing. This is because:
- There is no link between the fuel card and your company’s bank account, so the card cannot be cloned to fraudulently take funds from you.
- A fuel card can usually only be used by one vehicle.
- It cannot be used to fill up the tanks of multiple cars, vans and lorries as it can be embossed with a registration number.
Restrictions can be placed on the fuel cards by the fleet manager to buy fuel only, or even diesel only; they cannot be used to purchase cigarettes, cans of drink, papers/magazines, sandwiches, pies or anything else an untrustworthy driver can think of. Therefore, a fraudster or an employee cannot steal from you either.
Many fuel cards now include PIN protection, which means that the card can only be used to fill up with diesel and petrol if the driver has both the fuel card and the secret PIN number.
In the unlikely event of anything going wrong, some fuel card companies offer card insurance, often known as Card Protect or Zero-liability, to their customers.
Fuel card companies can provide online card management systems, one of the security services that these systems provide are Usage or Fraud Alerts. This is where irregular drawings or usage can be reported to the fleet manager by email. An example would be if the fleet is not usually on the road over a weekend, the system can be set up to provide an alert for any fuel purchases on a Saturday or Sunday. Alternatively, if you have a fleet of vans that can hold a maximum of 100 litres of diesel, the system can alert you to any fill-ups of 101 litres or more.
GPS tracking is also now available to help with your drivers’ claims for business and private mileage. This will help you to make sure that you records are fully HMRC compliant, avoiding costly fines and the disruption of a tax inspection.
